Mt Cook Lakeside Retreat Limited (“the Retreat”, “we”, “us” or “our”) respects your privacy and is committed to protecting your personal information.

We comply with the New Zealand Privacy Act 2020 and, where applicable, the European Union General Data Protection Regulation (GDPR).

Information We Collect and Why

We collect personal information that is reasonably necessary to manage your relationship with the Retreat and provide our services.

This may include your:

• name, contact details and address;
• accommodation, dining, wedding, event and experience bookings;
• travel and arrival information;
• dietary requirements, allergies, health, accessibility or mobility requirements that you choose to provide;
• payment and transaction information;
• communications with us;
• marketing preferences; and

Information Provided by Others

We may receive information about you from another person or organisation, such as a family member, guest, wedding or event organiser, employer, travel adviser, booking platform or distribution partner.

Where required by New Zealand privacy law, we will take reasonable steps to let you know that we have received your information and how it will be used.

If you provide personal information about another person, please ensure you are authorised to do so.

Sensitive Information

Information such as allergies, medical or accessibility requirements and requirements connected with religious beliefs will be collected only where reasonably necessary to provide an appropriate and safe experience.

Access to this information is limited to people who reasonably need it. Where GDPR applies, we will comply with the additional requirements applying to sensitive or special-category information.

Payments and Service Providers

Payments may be processed through specialist payment providers such as Windcave or Stripe. Where payment card information is entered directly into a payment platform, the provider processes that information under its own privacy and security arrangements.

We may also use trusted providers for services such as bookings, payments, travel distribution, IT, website hosting, email, customer relationship management, analytics and professional advice.

We do not sell your personal information.

Some providers may store or process information outside New Zealand. Where this occurs, we take reasonable steps to ensure your information is appropriately protected and comply with applicable requirements for overseas disclosure.

Marketing

If you choose to receive news, offers or other marketing from us, you can unsubscribe at any time using the link provided in our emails or by contacting us.

Unsubscribing from marketing will not affect communications needed to manage a booking or service you have requested.

Website, Cookies and Analytics

Our website may use cookies and similar technologies to operate the site, understand how it is used, measure marketing performance and provide relevant advertising.

This may include information such as your IP address, device and browser details, pages viewed and cookie or advertising identifiers.

Photography and Events

Photographs, video or audio may occasionally be taken at the Retreat or during events.

We will take reasonable steps to make guests aware when filming or photography is taking place and will respect reasonable requests not to be photographed.

We will seek permission where appropriate before using an identifiable guest image for promotional purposes and will seek specific permission before using identifiable wedding or private event photographs.

Protecting and Retaining Your Information

We take reasonable measures to protect personal information from loss, misuse, unauthorised access or disclosure.

We keep information only for as long as it is reasonably required for the purpose for which it was collected or to meet legal, tax, accounting or other business obligations. When it is no longer required, it will be securely deleted, destroyed or de-identified where practicable.

If a privacy breach occurs, we will assess and respond to it and notify affected people and the New Zealand Privacy Commissioner where required by law.

Your Privacy Rights

Under New Zealand privacy law, you may ask to access the personal information we hold about you and request that incorrect information be corrected.

Where GDPR applies, you may have additional rights, including rights relating to deletion, restriction, portability, objection and withdrawal of consent.
